An exciting opportunity has arisen for an Executive Assistant to join a dynamic and fast-paced global company. We are looking for a proactive Executive Assistant to join our expanding and high performing global team, based in London. You will report to both the EVP (based in London) and the EMEA MD (based in Germany, Cologne) and provide support to them on all aspects of their role.

A day in the life
- A variety of administrative tasks for the EVP and MD, including (but not limited to): managing the very active calendar; completing expense reports; composing and preparing correspondence that is sometimes confidential; prioritizing the mailbox and highlighting important/urgent correspondence; arranging complex and detailed travel plans, itineraries, and agendas; completing special projects assigned by the team.
- Plans, coordinates and ensures the team’s schedule is followed and respected. Is the "gatekeeper" and "gateway" for direct access to their time.
- Ensures smooth communication between the EVP and MD and internal departments; demonstrating leadership to maintain credibility, trust, confidentiality and support with all staff.
- Works closely and effectively with the EVP/MD to keep them well informed of upcoming commitments and responsibilities, following up appropriately.
- Successfully completes given tasks with a hands-on approach and accuracy.
- Prioritizes conflicting needs; handles matters swiftly, proactively, confidently, and follows through on projects to successful completion.
- Meeting organization (agenda & presentation), summary and follow up on Action Items.
- Own the Scheduling, template creation, information gathering and timely completion
- Produces weekly reports and shares financial information with the relevant teams as requested to support the business reporting requirements.
- Works on power point presentation and updates templates for QBR, townhall and team’s regular meetings
- Offsite event organization (responsible for all logistics, planning and execution of the event). Events can also include team’s events such as summer parties
- Own the Scheduling, template creation, information gathering and timely completion
- Approves team’s members expenses and all IOs, POs coming to the EVP/MD for sign off
- Works on power point presentation and updates templates for QBR, townhall and team’s regular meetings
- After three months you’ll have become the “right hand” of the EVP and MD and be supporting them in their day to day role as well as managing any ongoing projects.
What you’ll bring
- Executive/Personal Assistant experience is required, preferably experienced on C-Level in a technology environment
- Excellent verbal and written communication skills (including fluent written and spoken English, German language knowledge is a plus)
- Excellent Customer Service level, proven ability to handle confidential information with discretion, be adaptable to various competing demands
- Be a proficient user of Microsoft Office (Word, Excel, and PowerPoint) and Google Workspace (Gmail, Google Drive, Google Docs)
- Super organized, proactive and always one step ahead
- Great Communication skills with strong powerpoint skills to deliver professional slides.
- The ability to perform and prioritize multiple tasks seamlessly with attention to detail
- Problem-solving approach with strong decision-making skills
- Remains calm under pressure and is a people person with very strong interpersonal skills and the ability to build relationships with stakeholders inside and outside the organization
- We need a team player who is confident and outgoing and able to hold their own
- Forward looking thinker, who actively seeks opportunities and proposes solutions
